A lead who asked for a deck estimate and then went quiet is rarely a lost lead. Most of the time they are at work, on a job site or in the middle of dinner, and your voicemail is one of twelve. A text is different. It sits on the lock screen, it takes five seconds to answer, and it does not ask the lead to call anyone back. That is why a short follow-up text often gets the reply a call or an email did not.
The trick is spacing. One text is easy to miss. Five texts in two days is pressure. A simple rhythm works for trades and for real estate: day 1, day 3, day 7, then a final text that closes the file. The templates below follow that rhythm. What makes a follow-up text work
Four rules, and every template below follows them:
- Say who you are. Your first name and your business name, early. A lead who asked three companies for a quote needs to know which one you are. If they saved your number, your name shows on the lock screen too.
- Reference the request. "Your deck estimate", "the 2-bed on Maple Ave", "your roof repair quote". The lead remembers what they asked for, not who you are.
- Ask one easy question. Morning or afternoon. Yes or no. Reply 1, 2 or 3. A question that takes one word gets answered from the lock screen. "Let me know your thoughts" does not.
- Fit in one segment. 160 characters of plain text. A second segment costs double on a metered plan and can arrive split or out of order on some phones. Leave out emoji, links you do not need and anything that sounds like an ad.
A follow-up schedule that does not annoy people

After an estimate, start the clock when you send it: confirm it arrived on day 1, ask about questions on day 3, mention the schedule on day 7, and close the file on day 14. Send between 8 AM and 8 PM in the lead's time zone. Stop the moment they reply, even if the reply is "not yet".

The multiple choice version gets answers because every option is easy to send, including "no". A "1" is still useful: you stop texting, and you learn how often you lose to another quote.
UK, Ireland, Australia and New Zealand wording
In the UK, Ireland, Australia and New Zealand, customers ask for a "quote", not an "estimate", rentals are "lettings", and a tradesperson is a "tradie" in Australia and New Zealand. Small wording changes make the text sound local.

How to send these from your own business number
A follow-up works best from the number the lead already has: the one they called, the one on your truck or your listing sign, the one that sent the first reply. A text from a new rented number looks like spam to a lead who has never seen it.

A webhook tells your automation when a reply arrives, so the day 3 text never goes to someone who answered on day 1.

Text only people who contacted you first: a quote request, a call, a form, an open house sign-in, a rental inquiry. Do not load purchased or skip-traced lists into a follow-up sequence; those people never asked to hear from you. Honor STOP the same day, and add "Reply STOP to opt out" to marketing-style nudges such as annual checks and seasonal offers, as the templates above do. Frequently asked questions
How long should you wait before following up after no response?
Send the first reply the same day the request comes in. If there is no answer, follow up on day 1, day 3 and day 7, then send one closing text around day 14. For an estimate, start counting from the day you sent it. Two days between texts is enough for a busy person to see the first one and not so long that they forget who you are.
How many follow-up texts is too many?
Four or five texts over two weeks is the usual limit for a lead who has not replied. After the closing text, stop. If the lead said "not now" and gave a time, one check-in at that time is fine. If they reply STOP or ask you to stop, remove them the same day.
What do you text a lead who ghosted you?
Send a text that makes any answer easy, including no. "Should I close your file? Reply 1 if you went another way, 2 if the timing is off, 3 if you still want the new deck." A lead who feels bad about ghosting will often answer a multiple choice question when they would not answer "just checking in".
How do you write a follow up text after an estimate?
Name the estimate, include the amount if it helps, and ask one question: "Did you get a chance to look over the new deck estimate ($8,450)? Reply with any questions." On day 7, give a reason to decide, such as a start date that is filling up. If the price was the problem, offer a smaller option instead of a discount.
Can I automate follow-up texts?
Yes. A web form, CRM or spreadsheet can trigger each text through Zapier, Make or the textbee API, with a delay step between them. The one rule is to stop the sequence when the lead replies: use a webhook for incoming messages to end the automation for that contact, and answer the reply yourself.
